Position: Personal Assistant to the Director

Qualifications and Experiences:

Graduate with minimum 10 years of office experience out of which 5 years should be in dealing with inter institutional correspondence and confidential matters in an organization of repute.

Should have the minimum typing speed of 50 w.p.m. and short-hand speed of 60 w.p.m. Microsoft Office proficiency essential. Good command over written and oral communication skills.

Job Profile:
1.  Manage Directors electronic diary, and fixing appointments for him
2.  Manage Directors travel arrangements (including visas/accommodation/air tickets etc).
3.  Managing the Directors correspondence, ensuring that incoming correspondence is dealt with by the Director or on behalf of the Director
4.  Maintain Directors office systems, including data management and filing
5.   Maintain records of Directors contacts.
6.  Screen calls, enquiries and requests, and deal with them when appropriate
7.  Produce documents, briefing papers, reports and presentations for the Director
8.   Organise meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers
9.   Manage arrangements for Board and Annual General Meetings, Staff Committee meetings etc, including production/distribution of agenda and papers.
10.   Meet and greet visitors at all levels of seniority.
11.   Any other duties as may reasonably be required by the Director.
